The Opportunity

Expanding Personal Injury Law Firm has an immediate opening for an Ambassador of First Impressions in our Lafayette, Louisiana office. We are seeking a vivacious receptionist to provide an elevated customer experience to our clients and all visitors to our office. This is an ideal position for a genuine and hospitable individual with the skills to effectively communicate with individuals of all cultures and backgrounds. This role requires strong interpersonal and emotional intelligence skills where professionalism, confidentiality, and integrity are showcased. A successful candidate will possess excellent communication skills, a welcoming demeanor and the ability to multi-task efficiently in a busy environment. We are looking for someone who has a positive attitude and a strong commitment to ensuring all who enter our doors receive “red carpet” service.

Ensure visitors and team members have the best experience by maintaining a professional, welcoming environment where they feel valued and appreciated.

Desired Outcomes

  1. Accountable to create a professional, warm, and welcoming first impression of our firm to all visitors.

    • Welcome clients, vendors, job applicants, and other visitors in a warm and friendly manner as soon as they arrive and connect them with the appropriate party.

    • Attend to all client and visitor needs, including but not limited to offering refreshments; personally escorting them to their meeting space when possible; providing documentation; and/or obtaining signatures on behalf of legal support staff.

    • Ensure mini refrigerator containing client refreshments is stocked at all times.

    • Manage the front desk, including dialing, answering, and directing phone calls, taking messages, and handling inquires.

    • Maintain cleanliness of the reception area, lobby, and conference rooms between meetings.

    • Ensure that reception desk is covered at all times during business hours.

    • Ensure lights and doors are appropriately turned on/off and unlocked/locked at the start and end of each business day.

  2. Accountable to provide general office support to reduce stress and foster culture.

    • Manage and organize all conference room schedules for the Lafayette office, coordinating with the scheduling parties and the Executive Assistants as needed.

    • Notify staff of postal services and/or courthouse closures.

    • Receive deliveries and direct to appropriate parties.

    • Receive and print documents from legal team for client signatures and distribute checks from accounting to clients.

    • Serve as witness to legal documents as requested by attorneys and/or paralegals.

    • Responsible for conference room technology as needed for firm internal meetings and client meetings, informing Director of Operations of any technical issues.

    • Properly prep the office for closures, such as company holidays, by providing notices to post on main entrances of each office location, ensuring proper lock schedule of automatic locking doors, etc.

    • Provide assistance as requested in planning and executing employee appreciation initiatives to continuously improve and foster the culture of the firm.

  3. Accountable to serve as back up Mail Clerk.

    • Pick up, sort, scan, and deliver all incoming mail to appropriate recipients.

    • Maintain confidentiality of all mail.

    • Collaborate with the Operations Team regarding mail and fax processing.

    • Serve as the backup support to collect and enter data in legal software.

  • Flexible and adaptable

  • Willingness to perform any/all tasks as assigned by Handling Attorney, Supervisor and/or Firm Leadership in support of the firm’s growth and success

Education and Experience

  • High school diploma or equivalent

  • Previous experience in a receptionist, front desk, or customer service role preferred

  • Experience working in client-facing legal role preferred

  • Competent computer literacy: strong keyboarding experience, able to learn new programs quickly

  • Spanish-speaking is a plus

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer

  • Must be able to lift up to 15 pounds at times
