The Opportunity

We are seeking a vivacious Receptionist/Legal Assistant to greet our potential clients and visitors with a warm and welcoming first impression and and support the litigation paralegals during the litigation phase of all assigned matters. This is an ideal position for a genuine and hospitable individual with the skills to effectively communicate with individuals of all cultures and backgrounds. This role requires strong interpersonal skills where professionalism, confidentiality, and integrity are showcased. A successful candidate for the role will be skilled in oral communication, phone etiquette, and guest relations as they are accountable for providing hospitable and excellent customer service. As a Receptionist/Legal Assistant, you must be able to ensure visitors are well cared for and have a gratifying experience from the moment they enter the firm. We are looking for an organized multi-tasker to ensure that all matters assigned by litigation paralegals are handled as quickly and efficiently as possible.

What Winning Looks Like:

  1. Accountable to provide the best possible customer service to our clients and act as their advocate when working with any third parties as directed by litigation paralegals.
    1. Contact and meet with clients as directed
    2. Contact third parties such as medical providers and insurance companies on behalf of the client
  2. Accountable to ensure that all matters assigned by litigation paralegals are handled as quickly, accurately, and thoughtfully as possible.
    1. Ensure all data is properly and accurately entered into Case Management System (CSM)
    2. Organize, save, and file all matter related documents
    3. Draft, save, mail, fax, and/or email correspondence and supporting documents
    4. Assist with the preparation, filing, and service of pleadings
    5. Assist with discovery, including but not limited to, the preparation and completion of written discovery and scheduling of depositions
    6. Assist with trial preparation, including the assembly of exhibits, witness binders, and appendices for depositions and court filings
    7. Keep track of cases expenses, including copy and postage charges, entering into CSM for each client
  3. Accountable to provide handling attorney support as requested and as outlined in CSM Tasks.
    1. Timely response and completion of tasks assigned by handling attorney and or paralegal
    2. Timely completion of all CSM Matter Plan tasks

Job requirements

Skills Needed to Win:

  • Communicate: Excellent communication skills, both verbal and written. Must be able to draft professional letters that are free of grammar and spelling mistakes.

  • Practice Versatility: Adapt to various situations, tasks, or roles with ease and effectiveness; ability to work in a fast-paced environment

Preferred Education & Experience:

  • High school diploma or equivalent
  • 1-3 years of legal assistant or customer service-related experience preferred
  • Medical or customer service experience preferred
  • Competent Computer literacy: able to learn new programs quickly and accurately. Skilled in Microsoft Office Suite. Strong keyboarding experience.
  • Proficient in data entry & management

Physical Requirements:

  • Maintain a professional appearance and positive attitude
  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
